Associate Team Leader (ATL)

Students wishing to live off campus will be required to stay on campus during on-call shifts (approximately once a week). A room will be provided at no extra cost. Please note that the last night for all summer accommodations is August 20, 2023. Any students returning to residence will be permitted to stay into the academic year.

This rate is $0.75 increase per hour for each year over and above your position's current starting hourly wage, up to a 2-year maximum (some exceptions apply).
  • On Call - Since you will be on call during the summer, we offer you 5 paid vacation days.

What your day will look like

The Associate Team Leader plays an integral part in the efficient and effective day-to-day operations of the Conference Services business. The incumbent will be responsible for the following:

  • Assist Conference Coordinator with summer conference and accommodation business.
  • Ensure all pertinent information has been collected and requirements have been completed prior to arrival of a conference or summer client.
  • Assist Conference Coordinator with inputting and allocating residence accommodations for conference groups and summer clients in our conference management database.
  • Weekend and evening hours required as well as being on-call evenings and alternating weekends (on average).
  • Maintain and print reports required, such as arrival/departures, non-arrivals/non-departures, zero balance and housekeeping.
  • Assist in ensuring special needs of summer clients are met, including room inventory and preparation of residence rooms.
  • Input data for conference and accommodation information regarding room lists, and other related information.
  • Under the guidance of the Conference Coordinator greets new conference groups upon arrival, and ensures, with the assistance of the Conference Office, all requirements have been met for conference organizer.
  • Under the guidance of the Conference Coordinator, ensure time sheets are accurate.
  • Under the guidance of the Conference Coordinator liaise with custodial service to meet summer business demands and ensures proper cleaning standards are met.
  • Assist Customer Service Associates with all aspects of their positions, and ensure proper procedures are being followed.
  • Assist Conference Coordinator with facility related tasks such as room inventory assessment and project planning.
  • Staff the front desk as scheduled.
  • Provide hands on supervisions/direction to summer staff. Follow up with staff regarding various financial issues i.e. guest accounts, deposits, etc.
  • Assist Conference Coordinator with coordination of flipping guest rooms.
  • Make up guest rooms as necessary.
  • Maintain room inventories of online tourist agencies and online booking system.
  • Other necessary duties and tasks assigned for the welfare and happiness of Conference Services guests, and the efficient operation of Conference Services at Dalhousie University.
  • Participate in weekly staff meetings with Conference Coordinator, Conference Service Associates, Facilities Management, Custodial Staff, and Conference Office Staff.

What you need to work for us

  • You will be required to live in residence during the duration of your employment or live within 10 minutes of campus - must stay on campus for on-call shifts.
  • Ability to attend and/or lead scheduled weekly staff meetings.
  • Ability to attend a paid 4 day training session held in late April (exact dates will be given on job contract).
  • Must be a returning Dalhousie Student with a minimum grade point average of 2.0
  • Excellent communication skills, both oral and written
  • Exceptional customer service and telephone skills
  • Strong multi-tasking and organizational skills
  • Strong ability to work with the public, sometimes under stressful situations
  • Cash handling experience with proven ability to reconcile accounts, deposits, etc.
  • Ability to work both independently and in a team environment
  • Proven supervisory skills and/or leadership skills
  • Proficiency with Microsoft Word, Excel and Outlook
  • Strong word-processing and data entry skills
  • Previous experience in the hospitality industry a definite asset
  • Knowledge of Dalhousie residence and facilities an asset

Customer Service Associate (CSA)

The Customer Service Associate plays an integral role in the efficient and effective day-to-day operations of the Event & Conference Services business. The incumbent will be responsible for the following:

  • Responsible to coordinate and perform all check-in and check-out procedures associated with summer clients, such as preparing client bills and statements, preparing and issuing keys, and printing and maintaining reports. This to be done with assistance of our conference management database (KX).
  • Maintain and print reports required through KX, such as arrival/departures, non-arrivals/non-departures, and housekeeping
  • Responsible to maintain and balance a cash float, which would include closing payment machine and reconcile shift report.
  • Responsible to provide information as requested by clients, university regulations, city directions, availability of services, etc.
  • Ensure parking permits are issued and recorded according to department guidelines.
  • Ensure a safe and secure customer service-based environment for conference delegates.
  • Guest room preparation.
  • Facility set up.
  • Building attendant responsibilities.
  • Linen duties (making beds, transferring linens, laundering of towels, sorting of linen to go to outside company, collecting linens from outside company, exchanging clean and dirty linens with guests).
  • Any other necessary duties and tasks assigned for the welfare and happiness of Conference Service guests, and for the efficient operation of Event & Conference Services at Dalhousie University.
  • Daytime, evening and on call shifts (overnight).
