Guest Services Supervisor (GSS)

$19.00 per hour (see Welcome Back Rate). Students will be paid 1 ½ times their rate for any hour worked over 48 in each pay period (7 days, Sunday to Saturday).

  • Housing – We are pleased to offer our staff complementary summer housing in a residence. Please note that the last night for all Staff accommodations is August 23, 2024. Any staff choosing not to reside in complementary student housing must resident no more than a 5-minute commute to Agricultural campus.
  • On Call – Since you will be on call during the summer and the use of your personal cell phone is expected, we offer you $860.00 at the end of your contract.
  • Opportunity for Growth & Future Employment – Many students work with our department for several years, for summer and part-time work during the academic year. In addition to offering the possibility of summer employment for future years, we are also pleased to be able to promote students who show leadership and outstanding customer service skills.
  • Welcome Back Rate for Returning Students - We are pleased to be able to offer a “Welcome Back Rate” to students who return to work with us! To qualify for this rate, you must have: Met the performance standards; Stayed until the end of your contract; Worked for us the year immediately prior to this season; Return to the same position you worked in in the previous. This rate is a $0.75 increase per hour for each year over and above your position’s current starting hourly wage, up to a 2-year maximum (some exceptions apply).

What your day will look like

The Guest Services Supervisor plays an integral role in the efficient and effective day-to-day operations of the Event & Conference Services business. The incumbent will be responsible for the following:

  • Assist Conference Coordinator with summer conference and accommodation business.
  • Ensure all pertinent information has been collected and requirements have been completed prior to arrival of a conference or summer client.
  • Weekend and evening hours required. One Guest Services Supervisor must also be on-call every evening and weekend to support 24/7 operations.
  • Assist Conference Coordinator with inputting and allocating residence accommodations for conference groups and summer clients in our conference management database.
  • Maintain and print reports required, such as non-arrivals/non-departures, outstanding accounts, and housekeeping reports.
  • Assist in ensuring special needs of summer clients are met including room inventory and preparation of residence rooms.
  • Input data for conference and accommodation information regarding room lists, and other related information.
  • Under the guidance of the Conference Coordinator greets new conference groups upon arrival, and ensures, with the assistance of the Event & Conference Office, all requirements have been met for conference organizer.
  • Under the guidance of the Conference Coordinator, ensure time sheets are accurate.
  • Under the guidance of the Conference Coordinator liaise with custodial services to meet summer business demands and ensure proper cleaning standards are met.
  • Assist Guest Services Associates with all aspects of their positions, and ensure proper procedures are being followed.
  • Support the Conference Coordinator with facility related tasks such as room inventory assessment and project planning.
  • Provide hands on supervision/direction to Guest Service Associates. Follow up with staff regarding various financial issues i.e., guest accounts, deposits, etc.
  • Responsible for resolving guest issues upon arrival/during their stay; elevating complaints to the Conference Coordinator and/or Manager, Residence and Conference Operations, as necessary.
  • Assist Conference Coordinator with coordination of flipping guest rooms.
  • Make up guest rooms, as necessary.
  • Maintain room inventories of online tourist agencies and online booking system.
  • Other necessary duties and tasks assigned for the welfare and happiness of Conference Services guests, and the efficient operation of Conference Services at Dalhousie University.
  • Participate in weekly staff meetings with Conference Coordinator, Conference Service Associates, Facilities Management, Custodial Staff, and Conference Office Staff

What you need to work for us

  • You will be required to live in residence during the duration of your employment or within a 5 10-minute commute – must stay on campus for on-call shifts
  • Ability to attend a paid 5-day training session held April 24 - 28, 2024
  • Must be an active Dalhousie Student with a minimum grade point average of 2.0.
  • Ability to work independently and take initiative while adhering to established guidelines and protocols.
  • Excellent communication skills, both oral and written.
  • Exceptional customer service and telephone skills.
  • Strong multi-tasking and organizational skills.
  • Strong ability to work with the public, sometimes in stressful situations.
  • Strong sense of professionalism and confidentiality.
  • Cash handling experience with proven ability to reconcile accounts, deposits, etc.
  • Ability to work both independently and in a team environment.
  • Proven supervisory and/or leadership skills.
  • Proficiency with Microsoft Word, Excel, SharePoint, and Teams.
  • Strong word-processing and data entry skills.
  • Ability to respond to a wide range of inquiries from students, staff, various Dalhousie University Departments, clients, and the public.
  • General knowledge of the Truro area.
  • Strong critical thinking and problem-solving skills.
  • Previous experience in the hospitality industry a definite asset.
  • Knowledge of Dalhousie residence facilities an asset.
  • Knowledge of KX Software is an asset.

  • Responsible to coordinate and perform all check-in and check-out procedures associated with summer guests, such as preparing client invoices and statements, preparing, and issuing keys, and printing and maintaining reports. This is done with the assistance of our conference management database (KX).
  • Maintain and print reports required through KX, such as arrival/departures, non-arrivals/non-departures, and housekeeping.
  • Responsible to maintain and balance a cash float, which would include closing payment machine and reconcile shift report.
  • Responsible to provide information as requested by clients, university regulations, city directions, availability of services, etc.
  • Maintain security of the residence, including but not limited to following sign out procedures for keys and access cards.
  • Any other necessary duties and tasks assigned for the welfare and happiness of Conference Service guests, and for the efficient operation of Event & Conference Services at Dalhousie University.
  • Guest room preparation.
  • Facility set up.
  • Building attendant responsibilities.
  • Linen duties (making beds, transferring linens, laundering of towels, sorting of linen to go to outside company, collecting linens from outside company, exchanging clean and dirty linens with guests).

What you need to work for us

  • Up-to-date certification in First Aid. Proof of certification will be required with a signed job contract.
  • Ability to attend scheduled staff meetings.
  • Ability to attend a paid 5-day training session held April 24 - 28, 2024.
