Associate Team Leader (ATL)

$18.50 per hour (see Welcome Back Rate). Students will be paid 1 ½ times their rate for any hour worked over 48 in a given pay period (7 days).

- Housing – We are pleased to offer our staff complementary summer housing a residence. Please note that the last night for all summer accommodations is August 21, 2023. Any staff choosing not to reside in complementary student housing must resident no more than a 5-minute commute to Studley campus.
- Extra Hours – Students who wish to take advantage of extra shifts should speak to their supervisor. Often during our busy months, there are extra shifts available.
- On Call - Since you will be on call during the summer and the use of your personal cell phone, we offer you $860 at the end of your contact.
- Opportunity for Growth & Future Employment – Many students work with our department for several years, for summer and part-time work during the academic year. In addition to offering the possibility of summer employment for future years, we are also pleased to be able to promote students who show leadership and outstanding customer service skills.
- Welcome Back Rate for Returning Students - We are pleased to be able to offer a “Welcome Back Rate” to students who return to work with us! To qualify for this rate, you must have: Met the performance standards; Stayed until the end of your contract; Worked for us the year immediately prior to this season; Be returning to the same position you worked in in the previous season or moving from CSA to ATL. This rate is $0.75 increase per hour for each year over and above your position’s current starting hourly wage, up to a 2-year maximum (some exceptions apply).
What your day will look like
The Associate Team Leader plays an integral role in the efficient and effective day-to-day operations of the Event & Conference Services business. The incumbent will be responsible for the following:
- Assist Event and Conference Services, Front Desk Manager and Assistant Director of Facilities with summer conference and accommodation business.
- Ensure all pertinent information has been collected and requirements have been completed prior to arrival of a conference or summer client.
- Weekend and evening hours required. One Associate Team Leader must also be on-call every evening and weekend, you do have the ability to set your own schedule with your coworkers (must still be confirmed my managers).
- Maintain and print reports required, such as non-arrivals/non-departures, outstanding accounts, and housekeeping reports.
- Assist in ensuring special needs of summer clients are met including room inventory and preparation of residence rooms.
- Input data for conference and accommodation information regarding room lists, and other related information.
- Under the guidance of Event and Conference Services, Front Desk Manager and Assistant Director of Facilities greets new conference groups upon arrival, and ensures, with the assistance of the Event & Conference Office, all requirements have been met for conference organizer.
- Under the guidance of the Front Desk Manager, ensures timesheets are accurate and submit payroll.
- Under the guidance of the Event and Conference Services, Front Desk Manager and Assistant Director of Facilities liaise with custodial services to meet summer business demands and ensures proper cleaning standards are met.
- Assist Customer Service Associates with all aspects of their positions, and ensure proper procedures are being followed.
- Support Assistant Director of Facilities with facility related tasks such as room inventory assessment and project planning.
- Staff the front desk as necessary and help with the scheduling of the Customer Service Associates.
- Provide hands on supervision / direction to Customer Service Associates. Follow up with staff regarding various financial issues i.e. guest accounts, deposits, etc. Lead one-on-one feedback meetings with those Customer Service Associates that are under your direct supervision.
- Responsible for completing certain financial duties such as weekly financials, assist with deposits and monitoring/settling outstanding accounts.
- Other necessary duties and tasks assigned for the welfare and happiness of Event & Conference Service guests, and the efficient operation of Event & Conference Services at Dalhousie University.
What you need to work for us
- You will be required to live in residence during the duration of your employment or within a 5-minute commute.
- Ability to attend multiple weekly meetings and lead scheduled weekly staff meetings
- Ability to attend a paid 6–7-day training session held April 27 - May 7th, 2023.
- Must be a returning Dalhousie Student with a minimum grade point average of 2.0
- Excellent communication skills, both oral and written
- Exceptional customer service and telephone skills
- Strong multi-tasking and organizational skills
- Strong ability to work with the public, sometimes under stressful situations
- Cash handling experience with proven ability to reconcile accounts, deposits, etc.
- Ability to work both independently and in a team environment
- Proven supervisory skills and/or leadership skills
- Proficiency with Microsoft Word, Excel and Access
- Strong word-processing and data entry skills
- Previous experience in the hospitality industry a definite asset
- Knowledge of Dalhousie residence facilities an asset

Customer Service Associate (CSA)

- Responsible to coordinate and perform all check-in and check-out procedures associated with summer clients, such as preparing client bills and statements, preparing, and issuing keys, and printing and maintaining reports. This to be done with assistance of our conference management database (KX).
- Maintain and print reports required through KX, such as arrival/departures, non-arrivals/non-departures, and housekeeping
- Responsible to maintain and balance a cash float, which would include closing payment machine and reconcile shift report.
- Responsible to provide information as requested by clients, university regulations, city directions, availability of services, etc.
- Ensure parking permits are issued and recorded according to department guidelines.
- Maintain security of the residence, which includes key control.
- Any other necessary duties and tasks assigned for the welfare and happiness of Conference Service guests, and for the efficient operation of Event & Conference Services at Dalhousie University.
